Our Clinic Management Service provides dedicated, friendly, named PAs to:
1· Answer your calls in your company name.
2· Manage your diary and arrange appointments in real time.
3· Familiarise themselves with your clients and their needs.
4· Book new patient and follow up appointments
5· Book procedures
6· Handle insurance referrals.
7· Liaise with other healthcare personnel to assist with procedures etc.

We’ll also:

· Send out SMS reminders to your patients so they don’t forget their appointment or where they need to go.

· Call a patient for whatever reason, like letting them know you’re running late or they need to bring something to the appointment.

We can take your calls when you can’t and you’ll never have to worry about staff sickness or holidays.

All for the fraction of the cost of a full-time receptionist!

Here's how it works

Our clients include doctors, consultant surgeons, osteopaths, podiatrists, chiropractors and CBT practitioners. All you need is a broadband connection, and we can supply an online diary, so both you and your Zebra PA can book appointments at the same time for different patients. If you have your own online diary we can work with that too. Whatever diary you choose, we’ll be able keep your patients happy by booking them in straightaway. You’ll no longer have to worry about new patients going elsewhere because they wanted an appointment as soon as possible but only got through to the answerphone. Your Zebra PA will take the call exactly as if they were your receptionist, giving out prices and directions to your clinic as well if needs be. Most of the time there isn’t even a need for you to do anything else. You can carry on working in the treatment room or catch up with your administration. If you or your existing receptionist already take calls yourself then we can just cover lunchtimes, evenings or other times when you can’t answer your own phone. MyOffice Diary Link
Taking Instructions

We'll take as long as it requires to gather all the information we need to provide the professional service you're looking for. Depending on complexity, this might take 30 minutes or a working week. If your account requires it, then we'll liaise with you to produce the necessary documents to help us understand your requirements. This might require a set up fee.

Configuring Your Account

Once we've gathered information on how you'd like your account handled then we'll proceed with setting it up. We'll programme in a unique number for you to divert your calls to, and ensure we are clear on the booking system that you operate. We'll liaise with you every step of the way.

Going Live

Once we're all set up, we'll test everything this end and send you a confirmation email saying we're ready for you to divert your calls to us. But this isn't the end of process, as we'll adapt and change any aspect of the service if you need us to. Complex accounts typically require a bedding-in period.
