Step 1
Taking Instructions

We'll take as long as it requires to gather all the information we need to provide the professional service you're looking for. Depending on complexity, this might take 30 minutes or a working week. If your account requires it, then we'll liaise with you to produce the necessary documents to help us understand your requirements. This might require a set up fee.

Step 2
Configuring Your Account

Once we've gathered information on how you'd like your account handled then we'll proceed with setting it up. We'll programme in a unique number for you to divert your calls to, and then configure other digital channels if required. We'll liaise with you every step of the way.

Step 3
Training Your Allocated PA

Probably the most important part of the process, this can take as little as half an hour, or several days if your brief is complex.

Step 4
Going Live

Once we're all set up, we'll test everything this end and send you a confirmation email saying we're ready for you to divert your calls to us. But this isn't the end of process, as we'll adapt and change any aspect of the service if you need us to. Complex accounts typically require a bedding-in period.

We can either act as an overflow service, taking those calls that your team can’t during busy periods or break times, or handle all calls as if we were based in your office. Even in these days of widespread home working, most of our team continue to work from our office near London. This enables efficient communication between them and leads to rapid response in the event of any urgent changes,

 

We appreciate that many of your callers will be regular callers and our state-of-the-art system can readily identify these so they can be handled differently if needs be.

 

For larger practices with several fee-earners, perhaps in different locations, we offer a Virtual Switchboard service, allowing us to prioritise callers and handle them according to your instructions.

 

Important or urgent calls can be patched or transferred to the fee-earner if necessary, and a message taken if no-one is available.

 

We are used dealing with callers who do not speak English as their first language, and their calls will be handled with the appropriate care and understanding.

 

Likewise, older callers are handled with particular sensitivity, patience and empathy. We will take as long as it needs to obtain the full details of why they’re calling. After all, your reputation is our reputation.
